PRIVACY POLICY — SUB BID PRO
Last updated: September 25, 2026
Sub Bid Pro ("Sub Bid Pro," "we," "us") is a product of Hoffman Contracting Services. This Privacy Policy explains what information we collect, why, and how we use it.
1. WHAT WE COLLECT
Account information: name, company name, phone number, and email address you provide when signing up.
Gmail data: with your explicit permission (via Google's own consent screen), we access your Gmail inbox to identify emails related to bid invitations and bid submissions — for example, invitation-to-bid notices, addenda, and your own sent bid proposals. We read message content, sender, subject, and PDF attachments from messages matching bid-related criteria. We do not access emails unrelated to bidding activity beyond what is necessary to search for and identify bid-related messages.
Google Drive data (optional): if you choose to enable attachment storage, we create folders and upload bid-related PDF attachments to a folder structure within your own Google Drive, using the same permission you grant when connecting your account.
Billing information: if you subscribe, payment is processed by Stripe. We do not store your card number; we retain only your Stripe customer/subscription identifiers.
2. HOW WE USE YOUR DATA
- To identify, parse, and organize bid invitations and submissions into your Sub Bid Pro dashboard.
- To extract bid amounts, due dates, and related details from attached documents.
- To organize attachments into Google Drive, if you've enabled that feature.
- To send you account-related and billing-related emails (e.g., a reminder before your trial ends).
- To operate, maintain, and improve the Sub Bid Pro service.
We do not sell your data. We do not share your Gmail or Drive data with any third party except the infrastructure providers necessary to run the service (see Section 4).
3. GOOGLE API SERVICES USER DATA POLICY — LIMITED USE DISCLOSURE
Sub Bid Pro's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Gmail and Drive data solely to provide and improve the bid-tracking features described in this policy.
- We do not use this data for advertising.
- We do not allow humans to read this data except (a) with your affirmative consent for a specific troubleshooting request, (b) for security purposes such as investigating abuse, (c) to comply with applicable law, or (d) where the data has been aggregated and de-identified.
- We do not transfer this data to any third party except as necessary to provide the service (see Section 4), to comply with applicable law, as part of a merger or acquisition (with notice to you), or with your explicit consent.
4. THIRD-PARTY SERVICE PROVIDERS
We use the following providers to operate Sub Bid Pro. Each processes data only as necessary to provide their service to us:
- Supabase — database and authentication hosting (stores your account and bid data)
- Railway — backend application hosting
- Vercel — frontend application hosting
- Stripe — payment processing
- Google — Gmail/Drive API access, per your explicit authorization
- Postmark — transactional email delivery
5. DATA RETENTION
We retain your account and bid data for as long as your account is active. If you delete your account or disconnect Gmail, we stop syncing new data; previously synced bid records remain in your dashboard until you delete them or close your account, at which point we delete your data within 30 days.
6. YOUR RIGHTS AND CONTROLS
- You can disconnect Gmail/Drive access at any time from Settings, which immediately revokes our access and deletes your stored Google tokens.
- You can also revoke Sub Bid Pro's access directly from your Google Account permissions at https://myaccount.google.com/permissions.
- You can request deletion of your account and associated data by contacting us (see Section 8).
7. SECURITY
We use industry-standard practices to protect your data, including encrypted connections (HTTPS/TLS), access controls, and row-level security on our database so that one customer's data is never visible to another.
